With no approver in the shop, send an approval request for a void, return or write-off. The approver decides on their device, then you come back and confirm.

If a void, a return or a write-off needs a second person and no approver is in the shop, send an approval request. The approver decides from their own device, then the requester comes back and confirms the action.

Send a request (the person doing the action)

  1. Open the document or item to void, refund or write off, and fill in the details and reason.

  2. Tap Ask for approval later.

  3. Wait for an approver to decide. The system notifies everyone who can approve.

  4. When you're told it was approved, go back to the same record and tap its confirm button, such as Confirm void, Confirm return or Confirm write-off.

The system carries out exactly what was approved, even if you changed the form before confirming, and one request covers one action only.

Decide on a request (the approver)

  1. Open Approval requests and choose the Waiting for me tab.

  2. Tap Review on the request and read the item, the amount and the requester's reason.

  3. To agree, enter The 6-digit code from your authenticator app and tap Approved.

  4. To refuse, write why in Note (required when not approving) and tap Rejected.

The requester is told the outcome straight away, either way.

Follow your own requests

The My requests tab shows each request's status, such as waiting, approved and waiting for you to confirm, done, refused or expired. If you no longer need one, tap Cancel request while it is still waiting.

Rules to know

  • A request nobody decides on expires after 72 hours. If the action is still needed, send a new request.

  • One record can have only one waiting request at a time.

  • Nobody can approve their own request, and the approver needs the task's permission at the record's branch.

  • While you wait, if an approver arrives, they can approve at the counter instead. See Approve an action at the counter.

  • Buying above Safe Buy or above the limit can't use requests; it must be approved at the time of purchase.

Frequently asked questions

My approval request expired. What now?

Send a new request from the same record, or have an approver confirm at the counter. Requests nobody decides on expire so they don't pile up.

It was approved, so why isn't the document voided yet?

Approval doesn't carry out the action. The person who sent the request must go back to the record and tap the confirm button; the system then does exactly what was approved.
