Owners are warned about staff accounts unused for a long time; then the system suspends them, never owners. Owners can reactivate them on the Team page.
A staff account nobody uses but that is still open is a weak spot, for example someone who left but can still sign in. The system therefore checks for inactive accounts every night.
What the system does
| Inactive for more than | What happens |
|---|---|
| 90 days | Owners get a notification listing accounts inactive for a long time |
| 120 days | The system suspends the account in that store automatically and records it in the audit log |
-
Activity counts from the person's last use of the store, or their last sign-in.
-
Store admins can be suspended automatically too.
-
Owners are never suspended automatically, but still appear in the notification list.
What a suspended person sees
When they sign in, the system doesn't take them into that store. If they belong to another store, they go there instead; if not, they land on the new-store setup page. There is no message yet saying they were suspended. If a staff member says they see the store setup page after signing in, check their status under Team.
Reactivating an account
-
Open Team and tap Edit on the staff member's row.
-
Set Status to Active and tap Save.
-
Ask the person to sign in and open the store the same day. The check runs every night, and without new activity the account may be suspended again.
