Change a staff member's role or branches, or suspend them, on the Team page. Staff are suspended rather than deleted, so the record of who did what stays.
- Who can do this:
- Owner, Store Admin (role defaults; the owner can change them)
When staff change jobs, move branch or leave, update their access under Team straight away. Staff are never deleted; they are suspended instead, so the record of who did what stays complete.
Who can make changes
-
You need the Manage team and permissions permission, held by default by: Owner, Store Admin.
-
Nobody can change their own access.
-
A store admin can't edit owners, other store admins, auditors or privacy officers; the Edit button doesn't appear on those rows.
-
The store must always keep at least one active owner.
Change a role or branches, or suspend someone
Open Team and tap Edit on the staff member's row.
Enter your own password again if asked.
Choose a new Role, or set Status to Suspended to suspend them.
Adjust the branches; to let them work at every branch, tick Access to all branches.
Tap Save. The system shows Permissions saved.
Every change is recorded in the audit log with the before and after values, and owners are notified when someone else changes team access.
When someone leaves
-
Tap Edit and set Status to Suspended on their last day.
-
If they knew passwords for shared accounts or shop devices, change those too.
A suspended member can't get into the store from then on, but their name stays on the documents and audit entries they made, and they no longer count as a plan seat.
Reactivating someone
Tap Edit and set Status back to Active. Inviting the same email again doesn't work, because the person is still a member of the store. If they were suspended for being inactive, see Inactive staff accounts are suspended.
Invitations not yet accepted
These are on the Pending invitations card, each with an expiry date. Tap Cancel if you sent one to the wrong person or no longer need it. Pending invitations count as plan seats. Sending a new invitation to the same email cancels the old one automatically.
If you can't save
| Message | What to do |
|---|---|
| The store must have an active owner | Make someone else an owner first, then change or suspend this owner |
| You can't grant this permission | You can only give permissions you hold yourself, and never owner-only ones. Ask the owner |
| The selected permissions conflict under segregation of duties | The owner must save it with a reason; see Adjust one person's permissions |
