Store roles: what each can and cannot do

Each role sets what a staff member can do and see, from owner and store admin to supervisor and cashier. Every member can open the live permission table.

Everyone in the store has one role. The role decides what that person can do and see. There are 13 roles, including Dealer, which can't be used yet. Every member can open the live permission table under What each role can do.

Roles in the store

Dealer is an outside dealer partner. It can be chosen only once Dealer Exchange opens.

The principles behind the roles

  • The person who does the work doesn't approve it. Risky actions, such as voiding your own document or a large refund, need a second person. See Why some tasks need a second person.

  • See only what you need. For example, cashiers don't see cost and profit, and auditors don't see customers' ID numbers.

  • Nobody hands out more than they hold. A store admin can only give roles and permissions they hold themselves.

  • Roles that reach money or customer data need 2FA. See Who must use 2FA and how long they have.

Choosing a role for a staff member

  1. Start with the role closest to that person's everyday work.

  2. If one or two permissions are missing, add them individually instead of choosing a bigger role. See Adjust one person's permissions.

  3. If the person works at only some branches, limit them to those. See Limit staff to certain branches.

Frequently asked questions

What is the difference between a store admin and an owner?

A store admin runs almost everything day to day, but can't change the plan, pricing controls or security settings, can't export all store data, and can't appoint owners or other admins.

Can cashiers see cost and profit?

No. The cashier role doesn't include viewing cost and profit. If really needed, an owner or store admin can add that permission for one person.
