Import your customer list

Import customer names, phone numbers, ID numbers and addresses from Excel or CSV. Duplicates are found by ID or phone, and personal data is encrypted.

Who can do this:
Owner, Store Admin, Manager (role defaults; the owner can change them)

Move your existing customer list into the system in one go. Imported customers can be found straight away when you buy or sell. The system checks every row and looks for duplicates before you confirm.

Before you start

  • Use an .xlsx or .csv file of up to 5 MB and up to 5,000 rows, one row per customer.

  • You need at least one name column: Full name or Name. For a company, use Legal entity name.

  • Other fields the system knows include National ID number, Phone, Email, Address, Province and Date of birth. Fill in what you have.

  • The person importing needs Import data, Add customers and View sensitive data (ID number/address). By default that is: Owner, Store Admin, Manager.

  • Customer imports don't need a branch.

Steps

  1. Open Import data and, on the Customer list card, tap Choose file.

  2. Choose the file, then decide If the customer already exists (matching ID number or phone number): Skip or Update.

  3. Tick I confirm the store has the right to collect and use this customer data under the Personal Data Protection Act (PDPA), then tap Read file and match columns.

  4. Check the column matches and sample values, then tap Validate data.

  5. Review the results. When you are ready, tap the import button, then Import to confirm.

When the import is done, tap View customers to open the list. The counters show how many customers were Created / updated and how many were Skipped (already exists).

What the system checks

  • Duplicates inside the file: if an ID number or phone number repeats an earlier row in the same file, the later row is an error. Merge them into one row.

  • Customers already in the system: the row is skipped or updated, as you chose. An update replaces only the fields that have a value in the file; empty cells never wipe existing data. Updating also needs Edit customers.

  • Names: with a single full-name column, the system removes titles such as Mr, Mrs and Miss and splits first and last name at the first space.

  • ID and phone numbers: must be in a valid format, or the row is an error. A tax ID must have 13 digits.

  • Unreadable email or province: the row still imports, but that field is not saved.

  • No ID number and no phone: the row imports, but the system can't check for duplicates, so you may end up with the same customer twice.

How the data is kept

ID numbers, birth dates, phone numbers, email addresses and addresses are encrypted, just like customers added at the counter. Each row from the uploaded file is encrypted too, and deleted automatically when the 30-day rollback window ends. The original file on your own computer still holds personal data, so keep it somewhere safe or delete it when you no longer need it.

Frequently asked questions

Will customers already in the system be duplicated?

Not when the ID number or phone matches: the existing customer is skipped or updated, as you chose. Rows with neither an ID number nor a phone can't be checked.

My customer file has only names and phone numbers. Can I import it?

Yes. Only a name is required. Fill in what you have and add more details on the customer page later.
