Bring in devices you already sold, with cost, buy date, sale date and price, so profit reports and valuation have starting data. Cash is untouched.
- Who can do this:
- Owner, Store Admin, Manager (role defaults; the owner can change them)
A shop that has just started using the system has no sales history yet, so valuations have little data and low confidence. If you kept past sales in Excel, import them. The system uses them as starting data for profit reports and for learning prices and selling times.
What the file needs
One row per device you have already sold, with every one of these fields matched:
-
Model
-
Cost price, the device's total cost
-
Purchase/received date
-
Sale date
-
Sale price
Include an IMEI or serial number as you would for a stock import (phones need an IMEI). Use an .xlsx or .csv file of up to 5 MB and up to 5,000 rows. The person importing needs Import data, Add items and View cost and profit.
Steps
Open Import data and, on the Historical sales card, tap Choose file.
Choose the file and the Default branch, then tap Read file and match columns.
Match a column to every field marked with an asterisk, then tap Validate data.
If some model names could not be matched, pick the right model and tap Save and re-validate.
Tap the import button, then Import to confirm.
Where the data shows up
-
Each row becomes a Historical sales (import) document dated on the sale day, and the device has the status Sold.
-
It appears in the True profit report per unit and the model performance report, with the Days-to-Sell of each device.
-
It does not appear in the daily sales report or the cash flow report, because no money came into the system.
-
Cash is not affected. The money from those sales should already be part of your accounts' opening balance; see Set the opening balance before you start.
-
These documents don't count as sales in your plan's monthly limit.
How it helps valuation
Sale prices from the file are kept as your shop's sold prices, but they carry less weight than sales recorded at the counter because they are not verified. Valuation only uses recent data (by default the last 180 days). Older sales still count towards selling times but not towards prices, so those rows show as warnings, not errors. See A new shop with no sales history: valuations for more.
What the system checks
-
The sale date can't be in the future or before the buy date.
-
The sale price must be above zero. A sale below cost still imports, with a warning to check it.
-
A repeated IMEI or serial number in the same file is an error.
