An advance estimate that cash may run short, from four weeks of real money in and out plus open repair estimates. A rate from the past, with its sample size.

Who can do this:
Owner, Store Admin, Manager, Accountant (role defaults; the owner can change them)

This card is an estimate that cash may run short in the next two weeks, if the shop spends and receives money at the same pace as lately and has to pay the repair estimates already made. It exists to warn you ahead of time, not after the balance has gone negative. Balances that are already negative are covered in Negative balance: causes and fixes.

How the system works it out

  1. It takes the real money in and out of purchase, sale, repair and return documents over the last four weeks. Moves between accounts, capital, and platform money not yet paid out are left out.

  2. It finds the average money in and money out per day and multiplies by two weeks.

  3. It subtracts the estimates of repair jobs that are still open.

  4. If the cash available now plus the result above is below zero, the card appears, with the number of days the money should last.

There must be enough days with money movements first. A new shop with little data shows no card, and the confidence has a lower ceiling than other cards, because a shop's cash flow swings easily.

What to do

  1. Open Cash/accounts and check each account and the platform money waiting to be paid out.

  2. Postpone buying that is not urgent, or buy only fast-selling models.

  3. Speed up selling the aged stock from the dead-stock card to get capital back.

  4. If needed, prepare extra capital and record it as capital in.

Good to know

This is a rate from the past, not a forecast. The system does not know how much you will buy or sell next week. It does not include regular expenses that are not recorded in the system, or devices being transferred between branches. The card is shown only to people who manage cash (Manage cash/accounts (combined)) and can be sent as a morning alert.
