Price below cost: warnings before you sell at a loss

Urgent alerts when a list price is below a device's total cost, or the market estimate has fallen below cost, with the possible loss and devices to check.

Who can do this:
Owner, Store Admin, Manager, Supervisor-Approver, Appraiser, Inventory staff, Accountant, Auditor (role defaults; the owner can change them)

The system has two loss warnings. The first fires when the shop has set a list price below cost. The second fires when the market price the system helps estimate has already fallen below the device's cost. Both carry the Urgent label, because selling at that price loses real money.

Total cost is not just the purchase price. It includes repairs, parts, shipping, fees and any other cost recorded against that device; see true profit.

  • List price below cost: the text under the title shows the total loss if every device sold at its current price. The list at the bottom shows each device's cost and list price.

  • Market price below cost: the system checks only devices that are Ready to sell or Listed, have a list price, and have enough data to estimate the Expected Sell with sufficient confidence. The text says the loss grows the longer you keep it, so sell to recover the capital soon.

Who sees this card

Both cards reveal device cost, so they show only to members with View cost and profit. By default that is: Owner, Store Admin, Manager, Supervisor-Approver, Appraiser, Inventory staff, Accountant, Auditor. Other members do not see these cards on Store Intelligence or in the Needs action section of the Overview.

Fixing prices step by step

  1. Tap the list at the bottom of the card, then tap a device to open it.

  2. Check that the device's total cost is complete and correct. A cost recorded by mistake is corrected by voiding that document with a reason.

  3. If the Selling price card shows a suggested price, tap Use suggested price, or type your own price.

  4. Tap Save price.

  5. Go back to Store Intelligence and tap Update now. The list-price card disappears once no device is priced below cost.

If the market price really is below cost

Setting a price above cost does not make the market pay more. The shop has to choose: sell to recover the capital quickly and reuse the money on devices that sell faster, or keep it and accept that the price may fall further. This card disappears when the device is sold, or when the estimated price rises above cost again.

The View items button opens the Aged stock & what to do report, but that report does not compare market prices. Devices whose list price is not below cost and that are not yet slow may not be in it, so use the list at the bottom of the card instead.

Notifications

Every morning the system sends both findings to the bell under Market price drops / price below cost, only to members who can see cost, at most once a day per topic.

Frequently asked questions

Why does it say below cost when my price is above what I paid?

Because the system compares with the device's total cost, which includes repairs, parts, shipping, fees and any other recorded cost, not just the purchase price.

The market price is below cost. Should I sell right away?

The system suggests considering a sale to recover the capital, because second-hand prices usually fall over time. The market price is an estimate from your shop's sales data, so check the device's real condition and decide yourself.

Why can't some staff see the price-below-cost card?

Because the card reveals device cost, it shows only to members allowed to see cost. The owner can grant that permission to individual members.
