Which reports there are and who can open them

There are 14 reports in four groups: sales and purchases, finance and profit, stock, and team. Each person sees only the reports and columns they may open.

Who can do this:
Owner, Store Admin, Manager, Supervisor-Approver, Inventory staff, Accountant, Auditor, Viewer (role defaults; the owner can change them)

Every report is calculated from the actual entries in your store's ledger, which cannot be edited afterwards, so every figure can be traced back to its source document. Open reports from the Reports menu.

Which report groups are there

The Reports page groups reports by the questions shops usually ask.

Sales and purchases

  • Daily sales: bills, units sold, discounts, refunds and net revenue per day

  • Purchases: units bought and traded in, and the capital spent, per day

Finance and profit

  • True profit per unit: the revenue of each unit sold minus every cost, not just sale price minus purchase price

  • Cash flow: money in and out of every account, with opening and closing balances

Stock and selling speed

  • Stock age: every item still in the store, grouped by age band

  • Stock value: units and capital tied up, by branch and category

  • Model performance & Days-to-Sell: which models sell fast, make good profit and sell through

  • Aged stock & what to do: items with a problem, with a recommended action and price

Team

  • Staff performance: what each person bought and sold

  • Self-approved actions: actions that normally need a second person but were approved by the person who did them

Who can open which report

Each person sees only the reports their role allows. If you can open none, the page says No reports available to you yet

By default, the roles that can open the finance reports are Owner, Store Admin, Manager, Accountant, Auditor. The owner can grant the permission to individual members.

Columns that show cost, capital tied up or expected profit appear only for people with View cost and profit. Everyone else does not see the column at all; it is not shown as an empty cell. Members limited to some branches see only their own branches' data.

How to read a report

  • Period: sales, purchase, profit and cash reports start at This month. Switch to Today, Last month, This year or Custom.

  • Branch: if the store has several branches, pick one branch or All branches.

  • Data as of now: stock reports such as Stock age and Stock value have no period; they show your stock at the moment you open them.

  • Headline figures: always cover every row in the period, even when the table below shows one part at a time. Tap Show more to see more, or export to get every row.

  • On a phone: each row is shown as a card with the same data as the desktop table.

Where the numbers come from

  • Only completed documents count. Voided documents are left out of sales, purchases and profit.

  • Dates and times are in the store's local time.

  • Past sales imported from Excel appear in the profit and model performance reports, but not in Daily sales or Cash flow, because they did not move money in the system.

Frequently asked questions

Why can't I see the true profit report?

The true profit and cash flow reports open only for people allowed to view financial reports. Ask the owner to grant you that permission, or to move you to a role that has it.

Do reports count voided documents?

No. Sales, purchase and profit reports count only completed documents. The cash flow report records the opposite payment on the day of the void, so the balance stays right.
