Overdue repair jobs and stalled branch transfers

Alerts when a repair job stays open too long or a receiving branch has not confirmed a transfer, because those devices are capital you cannot sell yet.

Who can do this:
Owner, Store Admin, Manager, Technician, Inventory staff (role defaults; the owner can change them)

A device stuck in a repair job or in a branch transfer cannot be sold, but the money paid for it is still tied up. So the system warns when a repair job has been open longer than its limit, or when the receiving branch has not confirmed stock sent to it. Both cards carry the Needs attention label.

Overdue repair jobs

  • What is counted: repair jobs that are not closed and have been open longer than the system's limit, counted from the day the job was opened, not from the last update. The card title shows the number of days used as the limit and the number of jobs.

  • List at the bottom: repair job number, item code and how many days the job has been open.

  • Card button: View repair jobs opens Repairs.

  • Who sees it: members with Manage repair jobs. By default that is: Owner, Store Admin, Manager, Technician, Inventory staff.

What to do with an overdue repair

Follow up with your own technician or the outside repair shop. If the repair is finished, open the job and tap Repair done. If it will not be repaired, tap Cancel job and give a reason. The card disappears once the job is closed or cancelled. If the repair is not worth it, consider selling the device as it is, because every day it waits is capital tied up. Stalled transfers

  • What is counted: devices in the In branch transfer status for longer than the system's limit, which means the receiving branch has not confirmed them into stock. The card title shows the number of days used as the limit and the number of devices.

  • Card button: Go to branch transfers opens Branch transfers on the Outgoing tab.

  • Who sees it: members with Transfer items between branches. By default that is: Owner, Store Admin, Manager, Inventory staff.

What to do with a stalled transfer

  • If the stock has arrived, someone at the receiving branch opens the Incoming tab, selects the devices and confirms receipt.

  • If the stock was never actually sent, or went to the wrong branch, tap Cancel on that device in the Outgoing tab, enter a reason and confirm. The device goes back into the sending branch's stock.

  • If the stock was lost on the way, tell the owner so they can check and decide the next step. Do not confirm receipt unless the device has really arrived.

Screens by plan

Repairs is available on plans with repair jobs (Starter and up), and Branch transfers on plans with branch transfers (Intelligence and up). Both cards appear in the Needs action section of the Overview on every plan, for members allowed to see them.

Notifications

Every morning the system sends both findings to the bell under Overdue repair jobs / stalled transfers, to members who can view the stock list and hold the permission for that finding, at most once a day per topic. When a transfer is sent, the receiving branch is also told straight away that stock is on its way.

Frequently asked questions

Why is a repair job I just updated still shown as overdue?

The system counts days from when the job was opened, not from the last update. The card goes away once the job is closed as repaired or cancelled.

I sent a transfer to the wrong branch. How do I fix it?

Cancel the transfer for that device on the Outgoing tab of the transfers screen and give a reason. The device returns to the sending branch's stock, and you can then send it to the right branch.
