See every action that normally needs a second person but was approved by the person who did it, as owner or in solo mode, with the reason, amount and document.

Who can do this:
Owner, Store Admin, Manager, Accountant, Auditor, Privacy Officer (role defaults; the owner can change them)

The Self-approved actions report lists every action that normally needs a second person, such as a large void, a refund or a write-off, but that the person doing it approved themselves, with the reason they gave. It lets you check afterwards in place of the second person who was not there.

When the system lets someone approve their own action

The person must always already hold the permission to approve that action, and one of these must apply:

  • Store owner: the store owner may approve their own actions if the store allows it, which it does by default.

  • Solo mode: the owner has turned this mode on, or the store has only one active member. See Solo mode: self-approval with a reason.

A reason must be typed every time, and the system records it in this report.

What each column means

  • Date and Recorded by: when it happened and who did it.

  • Rule: the rule that normally needs a second person, such as a void, a refund, a purchase above the approval limit or a write-off.

  • Approved by: approved as the store owner, or in solo mode.

  • Amount and Document: the amount and the document number, if any.

  • Reason: the text the person typed.

The headline figures show Number of actions and Total amount for the period.

Who can open it, and how often to check

Only people with View audit log can open it; by default that is the Owner, Store Admin, Manager, Accountant, Auditor, Privacy Officer roles. The system also sends a Self-approved actions summary once a day to people with Security settings, only on days with new actions.

Check it at least once a week, or whenever the summary arrives. Look for:

  • Reasons that are very short or the same every time, such as just "ok".

  • Several large voids or refunds on the same day.

  • Actions outside opening hours.

Frequently asked questions

Why do the owner's own actions appear in the self-approved report?

Because the action normally needs a second person, but the store lets the owner approve their own. The system records it with the reason so it can be checked later.
