Record the check of a customer's card or documents: method, result and card expiry. History can't be edited, and the status changes when the card expires.

Who can do this:
Owner, Store Admin, Manager, Cashier (role defaults; the owner can change them)

Identity verification (KYC) means checking that a customer is the person on the document they show, then recording the result as evidence. The system keeps who checked, how, and what the result was.

Who can record it

You need the Verify customer identity permission, held by default by: Owner, Store Admin, Manager, Cashier.

Record a verification

  1. Open the customer's page from Customers.

  2. On the Identity verification (KYC) card, tap Save.

  3. Choose the Method you actually used.

  4. Tick Identity matches the document if it matches; untick it if it doesn't.

  5. Enter the Card expiry date and any notes, then tap Save.

Methods you can choose

  • Checked the original ID card

  • Read the card with a card reader

  • Checked documents (company)

  • Verified by video call

These record how you checked. The system isn't connected to a card reader or video call yet, and there is no place to upload a photo of the card.

Verification status

Status Meaning
Not verified No passing check recorded yet
Verified A passing check is on record
Document expired The card used has expired; the system updates this every night
  • A Fail result is kept in the history but doesn't change the status.

  • Verification history can't be edited or deleted. If you recorded something wrongly, record a new result.

  • For a customer whose document expired, check their new card and record it again.

If the check fails

  1. Record the result with Identity matches the document unticked; the system keeps the Fail result as evidence.

  2. Don't buy from someone whose identity doesn't match the card.

  3. If you suspect bad intent, raise the customer's risk level and tell the owner. See Customer risk levels and blocking.

How it relates to buying

The store must record a seller with a national ID or tax ID for every purchase; see Why buying needs the seller's ID number. Other conditions, such as verifying first or refusing an expired document, come from rules the system holds for the law. If a rule applies, the system gives the reason when you confirm the purchase.

Frequently asked questions

A customer's ID card has expired. What should I do?

The system changes the status to document expired by itself. Next time the customer comes in, check their new card and record the verification again with the new expiry date.
