Buying above Safe Buy: reason and approver

You can pay more than Safe Buy, but you must give a reason and a second person with override rights must confirm with their 2FA code at the counter.

Sometimes a shop needs to pay more than Safe Buy, for a regular customer or a model that sells very fast. The system allows it, but you must give a reason and a second person with the Approve prices above Safe Buy permission must approve, even if you hold that permission yourself.

When the price is above Safe Buy

When the purchase price you enter is above Safe Buy on the buying screen:

  • The offer figure in the valuation panel turns red, and a risk reason says how far above Safe Buy it is.

  • A red box appears in the price card, showing this device's Safe Buy and asking for a reason.

  • An approver box appears below it, unless you may approve this yourself.

  1. Write a clear reason in Reason for buying above Safe Buy, for example "regular customer, official warranty left".

  2. Have an approver with Approve prices above Safe Buy enter their own email and password in the approver box.

  3. Have the approver enter the 6-digit code (2FA) from their own authenticator app.

  4. Tap Confirm purchase. The reason, the approver and the valuation at that moment are saved with the document.

Who can approve

  • The approver must be someone other than the person recording the purchase, an active team member and have access to that branch. By default this permission is held by: Owner, Store Admin, Manager, Supervisor-Approver, Appraiser.

  • If the price is also above the shop's purchase limit, one approver can approve both when they hold both permissions. See Purchases above the limit need an approver.

  • Owners can approve their own purchase when the shop lets owners self-approve. The system still asks for the reason for going above Safe Buy.

  • In a shop using solo mode, anyone holding Approve prices above Safe Buy can approve their own. See Solo mode: self-approval with a reason.

A purchase above Safe Buy can't be sent for approval later. The approver must be at the counter.

After saving, who sees it

  • The purchase document keeps the Expected Sell, Safe Buy, confidence, risk level, reason and approver as they were at that moment. A saved valuation can't be edited.

Frequently asked questions

Can a manager buy above Safe Buy and approve it themselves?

No. Buying above Safe Buy always needs another approver, even if the buyer holds the permission. Only owners, or shops in solo mode, may approve their own.
