A summary of recent offers above Safe Buy: how many, how much above in total and the reasons, so the owner can review buying, plus an instant alert each time.
- Who can do this:
- Owner, Store Admin, Manager, Accountant, Auditor (role defaults; the owner can change them)
Buying above Safe Buy is allowed when there is a reason and an approval, but if it happens often, the shop's profit slips away bit by bit. So Store Intelligence shows the owner how many offers above Safe Buy were made in the recent period, how much above in total, and why.
What this card counts
-
The system counts valuations saved with an offer above Safe Buy in the recent period. The card title shows the number of times and the number of days counted.
-
The text under the title shows the total paid above Safe Buy: the sum of each offer minus its Safe Buy.
-
The list at the bottom shows the model and spec, the offer against Safe Buy, and the reason recorded.
-
If you are working in one branch, only that branch is counted.
The valuations counted come from two places:
| Source | Reason shown in the list |
|---|---|
| Receive: an actual purchase above Safe Buy, which needs a reason and, under your shop's rules, an approver | The reason the staff member typed |
| Valuation: saving a valuation with an offer above Safe Buy, without buying | Saved from the valuation screen (not bought yet) |
So the figure on the card may include valuations that were never bought. Check the reasons in the list before drawing conclusions.
Who sees it and where the button goes
-
The card carries the Needs attention label and shows only to members with View financial reports. By default that is: Owner, Store Admin, Manager, Accountant, Auditor.
-
The View audit log button opens Audit log, where you can see who made the offer, who approved it and when. That screen needs View audit log.
-
The card also appears in the Needs action section of the Overview on every plan, for members allowed to see it.
Instant notifications
This finding does not wait for the morning check. Every time a valuation above Safe Buy is saved, the system immediately sends a Bought above Safe Buy notification with the staff member's name, the offer, the Safe Buy and the reason, to members allowed to see financial reports, except the person who saved it. By default it goes both in the app and by email, with email sent when the plan supports it. You can change this in Choose the notifications you get.
How to review
-
Read the reason for each entry. A good reason explains why this device is worth more than the system's estimate, for example better condition than its grade, or a customer already waiting to buy.
-
Look for the same staff member or the same model coming up often. If so, you may need to talk about negotiating, or the price data for that model may still be too thin.
-
Once these devices sell, open the True profit per unit report and compare their true profit with devices bought at or below Safe Buy.
-
If Safe Buy is often below the real market price, record more market prices so the system has more data to estimate from.
