Purchases above the limit need an approver

Above the shop's limit (฿30,000 by default), a second person with approval rights must sign in with their 2FA code at the counter.

Who can do this:
Owner, Store Admin, Manager, Cashier, Appraiser, Supervisor-Approver (role defaults; the owner can change them)

A shop can set a purchase limit. If the purchase price is above the limit, a second person with the Approve purchases above the limit permission must approve at the counter before it is saved. The limit is ฿30,000 by default, and the owner can change it in Store settings.

When an approver is needed

  • The purchase price is above the limit. Exactly the limit doesn't need approval.

  • A trade-in value at the till follows the same limit. See Take a trade-in during a sale.

  • Holding the approval permission yourself doesn't count for your own purchase. It must be someone else.

  • If the price is also above Safe Buy, one approver can approve both, as long as they hold both Approve purchases above the limit and Approve prices above Safe Buy. See Buying above Safe Buy: reason and approver.

  1. Fill in the purchase as usual. When the price is above the limit, the Another authorised person must approve before buying box appears in the price card.

  2. Have the approver enter their own Approver email and Approver password.

  3. Have the approver enter the 6-digit code (2FA) from the authenticator app on their own phone.

  4. Tap Confirm purchase. The approver's name is saved with the purchase document.

Owners and one-person shops

  • Owners can approve their own purchases while the shop has Store owners may approve their own actions turned on (it is on by default). A reason box replaces the approver box, and the owner may leave it empty.

  • In a shop using solo mode, anyone holding Approve purchases above the limit may approve their own purchase, but must give a reason. People without that permission still need an approver. See Solo mode: self-approval with a reason.

  • Every self-approval is recorded and listed in the self-approved actions report.

If the approval fails

The system shows the same message for every failed approval, The approver's details are not correct (email, password or authentication code), or they are not a member of this store., so nobody can use this screen to guess which e-mails have accounts. Check these in turn:

  • A typo: have the approver type the e-mail, password and authenticator code again. It must be someone else's account, not the person recording the purchase.

  • The approver isn't allowed: they must be an active team member of this shop, hold the purchase approval permission and have access to this branch.

  • 2FA isn't set up: the approver must turn on two-factor authentication first. See Turn on two-factor authentication (2FA).

  • Too many wrong tries: the system asks you to wait a moment before trying again.

Frequently asked questions

The approver isn't in the shop. Can I ask for approval later?

Not for a purchase above the limit, because the customer is waiting. The approver must sign in at the counter, or the owner records the purchase.

Why can't a manager with approval rights approve their own purchase?

Segregation of duties means the person who records and the person who approves must differ. Only owners, or shops in solo mode, may approve their own.
