Record capital in, capital withdrawals, other income and store expenses such as rent on the cash screen. Each entry gets a document and is fixed only by a void.
- Who can do this:
- Owner, Store Admin, Manager, Accountant (role defaults; the owner can change them)
Purchases, sales and item expenses already record their money. This page is for money that doesn't come from that work: the owner topping up the drawer, taking money out for personal use, or paying the shop rent.
Pick the right type
| Type | Use it when |

| Capital in | The owner or a partner puts money into the store, e.g. tops up the drawer for buying |
| Capital withdrawal | The owner takes store money for personal use |
| Other income | Money comes in that isn't from a sale |
| Other expense | A store cost not tied to one item, such as rent, electricity or internet |
| Transfer between accounts | Moving money from one account to another; see Move money between store accounts |
| Opening balance | Money you had before you started using the system; see Set the opening balance before you start |
Record money in or out
You need the Record cash movements permission. By default these roles have it: Owner, Store Admin, Manager, Accountant.
Open Cash/accounts and tap Record cash movement.
Choose the Type from the table above.
Choose the Account the money goes into or out of.
Enter the Amount as a positive number; the type sets the direction.
Type Details that someone else will understand, then tap Save.
After saving

The balance changes straight away and the entry appears in Recent activity: money in is green, money out is red.

The system issues a document numbered
CSH-…and records who did it and when. -
The document is dated when you tap save; you can't back-date it, so record money when it actually moves.

Cash movements don't count towards your plan's monthly transaction quota.

Every movement can be reviewed later in the Cash flow report by members with View financial reports.
Fixing a mistake
Cash entries can't be edited. Open the document, tap Void, give a reason and record it again. The system writes the reversal automatically and the original document stays as evidence.
Voiding needs the Void transactions permission, held by default by: Owner, Store Admin, Manager, Supervisor-Approver. Someone who can record cash but can't void must ask a member who can. Voiding your own document, a large amount or an old document needs a second person; see Why some tasks need a second person.
