Cash and money accounts
The store's money accounts, opening balances, recording money in and out, moving money between accounts and fixing negative balances properly.
- Money accounts: cash drawer, bank and PromptPay The system keeps your money in accounts: a cash drawer per branch, bank, PromptPay and card terminal. Each balance comes from every payment in and out.
- Set the opening balance before you start Record the cash and bank money you already have as an opening balance before the first purchase or sale, or the balance goes negative when you pay a seller.
- Record money in and out outside buying and selling Record capital in, capital withdrawals, other income and store expenses such as rent on the cash screen. Each entry gets a document and is fixed only by a void.
- Move money between store accounts Use a transfer between accounts when money only changes place, like a bank deposit from the drawer. The store total stays the same and each balance is right.
- Negative balance: causes and fixes A negative balance means money came in without a record: no opening balance, a top-up or a bank withdrawal. Fix it by recording what is missing, not by editing.
- Why you can't edit a balance directly Each balance comes from payments that can't be edited or deleted, so every baht can be traced. If it's wrong, record what is missing or void the mistake.
