What each item status means

A status says which stage a device is at and whether it can be sold, such as received, awaiting repair, ready to sell, reserved or sold. Most follow documents.

Every device always has exactly one status. It tells you which stage the device is at, whether it can be sold, and whether it counts as shop capital. Statuses show as labels with an icon, text and colour on Inventory and on the item page. Each change is recorded in the Timeline with the time, who did it and why.

Statuses for buying and selling

Status Means Comes from
Received Received, but not through inspection yet A purchase or trade-in where a critical check failed
Awaiting inspection Waiting for a check before sale A customer return, a repair closed for inspection, or a manual change
Awaiting repair Has a problem that needs fixing An inspection with a failed check or weak battery, or an open repair job
Ready to sell Can be sold now A passed inspection, a finished repair, or a branch transfer received
Listed Sellable, and the shop has advertised it A manual change
Reserved Sellable, but held for a customer A manual change; see Reserve an item for a customer
In branch transfer Sent to another branch, waiting to be received A branch transfer
Sold Sold A sale or trade-in document
Written off Out of stock because it was lost, damaged or seized A write-off document
Voided The document that brought it in was voided A voided purchase, or an import rolled back

Three statuses can be sold on the sale screen: ready to sell, listed and reserved.

Only some statuses can be changed by hand

Members with Edit items tap Change status on the item page and can only choose awaiting inspection, ready to sell, listed or reserved, always with a reason. Only the options the current status allows are offered.

Every other status changes through a document only, such as a sale, write-off, return, branch transfer or repair job, so the system always knows which document caused it. While a repair job is open or the item is in a branch transfer, the change-status button doesn't appear.

Which statuses count as capital tied up

Statuses where the shop still holds the device (from received to in a branch transfer) count as stock, count towards stock age and count as capital tied up in reports. Sold, written off and voided don't. See Stock age: how slow-moving and dead stock are counted.

Statuses that aren't open yet

The system also has statuses for pawn and Dealer Exchange, such as pledged or sent to a dealer, but those features are not open yet, so shops won't see them. See Pawn is not open yet.

Frequently asked questions

Why can't I set a device to sold by hand?

Sold, written off and returned only change through documents, so money and costs are recorded properly. Sell it on the sale screen instead.
