Money accounts: cash drawer, bank and PromptPay

The system keeps your money in accounts: a cash drawer per branch, bank, PromptPay and card terminal. Each balance comes from every payment in and out.

Who can do this:
Owner, Store Admin, Manager, Supervisor-Approver, Accountant, Auditor (role defaults; the owner can change them)

A store keeps money in several places: the counter drawer, a bank account, PromptPay. The system splits your money into "money accounts", each with its own balance. You see them all under Cash/accounts.

Account types

The system creates accounts for you

You don't have to create accounts before you start selling. The first time the store takes or pays money by a method, the system creates the main account for that method. For example, the first cash payment at a branch creates that branch's cash drawer.

Which account a sale or purchase uses

Staff never pick an account. The system follows the payment method chosen on the transaction.

  • Cash goes in or out of the cash drawer of the branch doing the transaction

  • Bank transfer and Cheque use the bank account

  • PromptPay uses the PromptPay account

  • Credit/debit card uses the card account

If you have several accounts of the same type, sales and purchases always use that type's main account: the one the system created, or the first one the store added. The other accounts are used for cash movements and transfers between accounts.

Add an account yourself

Add one when the store has several bank accounts, or when you want a name everyone recognises. You need the Record cash movements permission.

  1. Open Cash/accounts and tap Add account.

  2. Choose the account Type.

  3. Type an Account name that tells people which account it is.

  4. Pick a Branch for a cash drawer. For any other account leave it empty so every branch can use it.

  5. For a bank account, fill in Bank and Last 4 digits of account number, then tap Add account.

Members limited to some branches can only add accounts for their own branches. They see their branches' drawers plus the accounts shared by every branch.

Reading the cash screen

  • Total balance is the total of the accounts you can see.

  • Each card is one account. Tap a card to see that account's activity; tap it again to see everything.

  • A red balance is negative. See Negative balance: causes and fixes for the fix.

  • Recent activity lists the latest entries. Tap an entry to open the document it came from.

Frequently asked questions

Can I rename or close a money account?

Not yet. Accounts can only be added, so give each one a clear name from the start, such as the bank name and account type.

When a sale is paid by bank transfer, which bank account gets it?

The store's main bank account: the one the system created automatically, or the first bank account the store added. Staff don't choose an account when selling.
