Tick trade-in at the till, choose the model, inspect, and enter the value and a customer with an ID. One document sells the new device and takes in the old.
- Who can do this:
- Owner, Store Admin, Manager, Cashier, Appraiser (role defaults; the owner can change them)
A trade-in is when a customer hands over an old device and buys one from your shop on the same bill. The system records it as a single trade-in document: your device is sold, the old one comes into stock at the agreed value, and only the difference changes hands.
Before you start
-
You need both the sale permission (Sell items) and the purchase permission (Buy items). Without the purchase permission the trade-in card doesn't appear.
-
You must name a customer with a national ID, because the customer is selling you the old device.
-
The trade-in screen has no valuation panel. To check Safe Buy for the old device, open Valuation first. See Check Safe Buy before you buy.
On Sell item, add the device the customer is buying to the bill as usual.
In Trade-in device, tick Customer is trading in an old device.
Search for the old device's model, choose its spec, then enter its IMEI or serial number.
Choose the grade, enter the battery health and enter the Trade-in value.
Open Inspection checklist (defaults to “Normal”) and tap only the checks with a problem.
In Customer, choose or add the customer with their national ID.
Check the totals card, choose how the difference is paid, then tap Confirm trade-in.
Who pays the difference
| Case | The totals card shows | Result |
|---|---|---|
| The new device, after discount, costs more than the trade-in value | Trade-in credit and Total | The customer pays the difference |
| The trade-in value is higher | Store pays customer | The shop pays the difference to the customer |
| They're exactly equal | The trade-in value equals the sale total — no money changes hands | No money in or out |
A trade-in can't be split across payment methods and has no change calculation. A bill discount works as usual.
What the system checks
-
Duplicate IMEI: if the old device is still in your stock, it won't be saved. See Invalid IMEI or IMEI already in stock: what to do.
-
Limit: if the trade-in value is above the shop's purchase limit, an approver must sign in at the counter. See Purchases above the limit need an approver.
-
Critical check failed: the system warns Don't accept this device, just as when buying.
After saving
-
The document is numbered from TRD and prints as a receipt.
-
The sold device becomes sold. The old device enters stock with the trade-in value as its cost, and its status follows the inspection.
-
To undo it, void the whole document: the sale and the trade-in are reversed together. See Void a document: steps and reason.
