The item page shows every step from offer to sale: purchase, inspection, repair, price changes, reservation. Who, when, how long, and cost and profit to date.

Who can do this:
Owner, Store Admin, Manager, Supervisor-Approver, Cashier, Appraiser, Technician, Inventory staff, Accountant, Auditor, Viewer, Dealer (role defaults; the owner can change them)

The item page has an Item journey section under the device details. It tells the life of one device from intake to sale, so you can see where it is stuck, who did what, and how much money each step brought.

The strip at the top

The strip has six stages: intake, inspect, repair, for sale, reserved and sold. The stage the device is in now is highlighted. The number under each stage is the days the device spent there. A stage the device skipped is dashed and struck through, for example a device that was never repaired.

If a device has stayed in a stage longer than your own store usually takes, a yellow note appears. The comparison uses only your own store's history and only when there is enough history in that stage. With little history the system gives no warning and does not guess.

The timeline, step by step

The Timeline is in time order. Each step shows:

  • who did it and when

  • how long after the previous step

  • the money that step caused: cost added, revenue, and the cost or profit to date at that step

Steps with more to say are cards: offer, purchase, inspection, repair job, price change and sale. A plain status change is a small line. Tap any step to open the detail sheet with the full record and a link to the document.

The money comes from the cost ledger

Cost to date and profit to date are summed from the same cost-ledger entries as the True cost box, so the end result is the same. Profit comes from every cost, not from sale price minus purchase price. See True profit.

Cancelled documents and returns

A cancelled document does not disappear. The original step stays but is struck through with a cancelled badge, and another step shows the reversal with who cancelled it, when and why. The original ledger entries are not deleted. A return shows as a step of the return document.

Frequently asked questions

Why can some people not see money in the item journey?

Every money figure needs the permission to see cost. Members without it still see the steps, times and who did them, but not cost, revenue, profit, the offer or the seller (the seller also needs permission to see customers).
