Import existing stock, customers and past sales from Excel or CSV. The system matches columns, checks data before you confirm and can roll back a whole batch.
- Who can do this:
- Owner, Store Admin, Manager (role defaults; the owner can change them)
If your store kept stock, customers or sales in Excel, you don't have to type them in again. Import the file yourself; the system checks the data and shows you first, and nothing is saved until you confirm.
What you can import
| Type | Use it when | Read more |
|---|---|---|
| Existing stock | You had items in the shop before starting | Import existing stock |
| Customer list | You have an existing list of sellers and buyers | Import your customer list |
| Historical sales | You want valuations to use the store's past sales | Import past sales history |
Suggested order
-
Import existing stock first, so you can sell the items you have through the system straight away.
-
Import the customer list, if the store has the right to keep and use that data.
-
Import past sales, which gives valuations data to start from.
Import a file
Open Import data and tap Sample file for the type you want, to see the columns the system reads.
Arrange your file with one row per record and save it as .xlsx or .csv.
Tap Choose file, choose the file, then tap Read file and match columns.
Check how the columns were matched and wait while the system checks every row.
Look at the problem rows, fix the file if needed, then tap Confirm import.
File limits
-
One file can be up to 5 MB and 5,000 rows. Split larger data into several files.
-
The same file can't be imported twice until the earlier batch is rolled back.
-
You need the Import data permission, held by default by: Owner, Store Admin, Manager.
Do imported stock and sales affect cash?
No. Existing stock is recorded as item cost, and past sales as income and cost, but drawer and bank balances don't change. Record the money you really have as opening balances; see Set the opening balance before you start.
Imported something wrong? Roll it back
If a whole batch is wrong, tap Roll back batch within 30 days. The system voids every record in that batch with reversing entries instead of deleting them. See Roll back an import.
