Voiding your own, large or old document, and refunding your own or a large sale, needs a second person, unless you're the owner or the shop uses solo mode.

Who can do this:
Owner, Store Admin, Manager, Supervisor-Approver (role defaults; the owner can change them)

Voids and refunds move money out of the shop or change the numbers, so in some cases the system wants a second person to approve. That way nobody can both record and check their own work. You don't need approval every time, only in the cases below.

A void needs an approver when

  • You recorded the document yourself (the reason shown is You recorded this document)

  • The amount is above the limit: ฿10,000 by default (Amount above the limit)

  • The document is older than the time limit: 24 hours after it was recorded, by default (Older than the time limit)

For a document above the amount limit, the person voiding must also confirm their own password. A confirmed password stays valid for 10 minutes.

A return or refund needs an approver when

  • You recorded that sale yourself (You recorded this sale)

  • The refund is above the limit: ฿10,000 by default

Three ways to get approval

Who can approve

  • Someone other than the person recording it, who is an active member of the shop.

  • They must hold the same permission as the work: Void transactions for voids, Accept returns and refunds for returns.

  • They must have access to the document's branch and have 2FA turned on.

The limits can be changed

The owner can change the amounts and the time limit in Store settings; for segregation of duties, see Store security and segregation-of-duties settings. Setting a limit to zero turns that check off, but the "you recorded it yourself" rule always applies.

Frequently asked questions

Why does voiding my own bill need someone else's approval?

So that no one can record a transaction and then erase their own trail. A second person confirms the void has a real reason.
